The Olana Partnership (TOP) seeks a highly-motivated and detailed-oriented individual to join our development team. The Major Gifts Coordinator supports the President and Senior Vice President, as well as other senior staff, in their frontline fundraising work with major gift prospects and donors. This position conducts research, data analysis, and writing and coordinates major gift projects.
Primary Duties and Responsibilities
Conducts research on individual donors and the history and status of gift commitments as needed by senior staff; Ensures the accuracy of gift acknowledgments and all information communicated to donors and prospects;
Designs and produces ad hoc reports based on data extracted from TOP’s primary database (Abila) to support fund raising programs; ensures all major gifts activity is captured in database;
Maintains a comprehensive prospect list of individuals, corporations and foundations and prepares reports on prospect pools summarizing giving, status, affiliation and other data points, as needed;
Drafts a variety of written materials, including detailed individual prospect briefings and gift indentures, proposals in support of specific initiatives and internal and external correspondence that conforms to the style and voice of the sender;
Oversees stewardship functions to ensure that donors receive ongoing communication regarding TOP and its work and the significance of their support; coordinate inclusion of campaign messaging in organizational marketing and communication channels, as needed;
Interacts with donors at the request of senior staff and/or in response to inquiries;
Coordinates campaign committee meetings, including scheduling, attending and producing minutes and action items lists; drafts committee reports;
As a member of a team, coordinates special events, including donor cultivation and recognition events and celebrations of special initiatives; specific event duties include: drafts invitation and confirmation cards, compiles and maintains lists using complex queries, extends invitations, confirms attendance, ensures attendance accuracy, prepares biographies and talking points for guest speakers and drafts event flow documents;
Supports President, Senior Vice President and other senior staff in a range of additional activities related to TOP’s development effort, as needed; including supporting and giving private tours;
May perform other duties as assigned.
Bachelor's degree is required;
Two or more years of successful experience in development work, preferably at a cultural institution, including demonstrated organizational and research abilities with strong attention to detail including analyzing large volumes of information from disparate sources and synthesizing it in a cogent and concise form;
Superior communication skills, both oral and written, as well as excellent interpersonal skills (writing sample requested at time of interview);
Professionalism, maturity and an ability to work with confidential information; some experience working face-to-face with donors and prospects;
Demonstrated ability to prioritize work, manage multiple tasks and meet deadlines in a time-constrained environment. Ability to initiate and complete tasks with minimal supervision;
Advanced proficiency with MS Word, Excel, database software and reporting, and the ability to conduct data analysis and work with financial information. Knowledge of PowerPoint and Adobe Acrobat a plus;
Willingness to work occasional evenings and weekends.
Valid driver’s license.
