Archbishop Spalding High School is seeking an Advancement Assistant and Database Manager to join the Advancement team in their efforts to promote the mission of the school through fundraising, volunteer management and engagement activities.
This position reports to the Director of Advancement, is responsible for overseeing the day-to-day administrative and operational support functions of the Advancement Office, and coordinates activities with other operating units within the school when required. This position is also critical in the execution of the school’s fundraising efforts and is responsible for accurately entering gifts/records into the database, properly acknowledging all gifts, managing and updating the school’s fundraising software and for conducting analytics on the school’s database of prospects and constituents. This position will also support all Advancement events throughout the year.
Positively represents ASHS in all interactions with internal and external constituents including board members, donors, fellow employees, administrators, volunteers, parents, grandparents, alumni and the general public.
Processes gifts and acknowledges them appropriately in accordance with school’s Advancement policy and state and national nonprofit standards
Management and oversight of the accuracy of the school’s fundraising database
Provides statistical reports from the database and performs in-depth analytics on the constituents and donors
Deliver the results of analytics to the Advancement team to assist in the maximization of the school’s philanthropic potential
Maintains a productive work environment by assuring the availability of supplies and equipment needed to achieve department objectives.
Answers, evaluates and appropriately responds to phone calls, correspondence, electronic mail, visits and other inquiries.
Composes and transcribes correspondence, memos and reports.
Supports fundraising events such as the President’s Dinner, Spalding Gala, Love Golf Tournament, and Cavalier Open Golf Tournament and other school events as needed for assistance with registration, raffles, check-out, etc.
Other duties as assigned by Director of Advancement
High school diploma required, college degree preferred.
Prior experience in customer service, office management required, experience in advancement office preferred.
Required skills, knowledge, and abilities:
Experience in donor tracking software, specifically Raiser's Edge, preferred.
Excellent oral and written communications skills.
Good judgment and problem-solving skills required.
Must be customer service oriented.
Able to manage multiple priorities and assignments.
Self-starter and self-motivated.
Ability to properly handle confidential information.
Ability to display flexibility to meet the operational demands of the department activities required.
Ability to work occasional nights and weekends required.
Ability to interact with parents, grandparents, alumni and other constituent groups of the school in a courteous and professional manner required.
Basic Microsoft Windows desktop application and navigation skills.
Mathematical aptitude required.
