OPEN, Inc. is seeking a motivated, self-starter to serve as Executive Assistant to the Executive Director (ED) of OPEN, Inc. The Executive Assistant is responsible for managing the schedule of the ED and acting as a point of contact between the ED and clients. The Executive Assistant will maintain an office setup that optimizes workflow, including the management of the organization's virtual files, and oversees expenses and reimbursement of the OPEN, Inc. team. The Executive Assistant will also assist with coordination, content management, and support for staff and network committee meetings and convenings. This position is full-time and can be virtual or based in OPEN, Inc. headquarters and may require travel of approximately 15% in adherence to travel guidelines from the Center for Disease Control.
Primary Job Responsibilities:
Maintain the ED's schedule by planning and scheduling meetings, conferences, teleconferences, and travel
Serve as a point of contact between the ED and clients
Manage and track OPEN, Inc. expenses and reimbursements issued to staff and external vendors
Maintains office supplies inventory and software by regularly checking stock or system updates; anticipate need for supplies and additional software
Facilitate external communications by managing and distributing inquiries received by phone, company email, and via the online community platform
Coordinate internal meetings by scheduling appointments appropriately
Coordinate staff travel
May aid with IT troubleshooting
Assist with a variety of office projects and processes

Bachelor's degree preferred but not required
Three to five years of office management (administrative or executive)
Experience exercising discretion and confidentiality with sensitive company information
Experience with office management systems, such as MS Office and virtual meeting platforms
Strong communication skills (via phone, email, and in-person) and interpersonal skills
Excellent organizational skills with an ability to think proactively and prioritize work
Additional Salary Information: Salary/Benefits:
1.Salary range of $35,000 - $42,000 commensurate with education and experience.
