The Alumni and Donor Engagement Coordinator is responsible for the coordination, implementation and management of a diverse menu of opportunities for Bay Path alumni and friends to engage with the University with goal of further strengthening the alumni and donor community, and increasing alumni giving and participation. The Coordinator will work collaboratively with the Executive Director for Annual Giving and Alumni Relations as well as others on the Development team to manage strategic planning efforts for increasing alumni activity and giving to the University.
The Alumni and Donor Engagement Coordinator will also collaborate with faculty and staff in key administrative offices including, but not limited to Student Affairs, Career Services Admissions, Athletics, and The American Women's College, as well as with other volunteers, to engage alumni in the life of the University through volunteer opportunities, informative and inspiring communication, and University events, with a goal of developing long-term relationships with alumni who will give back their time, talent, and treasure. This person must exercise careful, independent judgment and in many cases will function as the public representative of the Development and Planned Giving Office.
ESSENTIAL JOB FUNCTIONS:
Manages the customer service function for Annual Giving and Alumni Relations, answering questions and offering support over the phone and email.
Actively participate in researching and implementing new alumni programs and best practices to contribute to our innovative, collaborative team and meet unit goals.
Assist in the development and implementation of strategies to create and nurture positive relationships with alumni from all populations, and support division engagement goals and fundraising such as Annual Appeal, and other yearly campaigns.
Assists in the development and maintenance of the Annual Fund and Alumni calendar, which includes proactively completing tasks, tracking deadlines, and prompting the Executive Director when various actions are due.
Provides background research as needed for projects and Department staff requests.
In coordination with the Executive Director, develop and oversee an active program of communication and outreach, including the development of robust social media, the coordinator of Bay Pathway magazine content (in collaboration with Communications & Institutional Marketing team), and the creation of and copy writing for Alma Matters e-newsletter.
Track key metrics in order to facilitate the quantitative analysis of program and event outcomes.
Assist with volunteer management, including generating reports and lists, coordinating updates, and other scheduled communication.
Assist with planning and facilitating alumni, donor cultivation, and stewardship events including guest lists, RSVPs, and logistics.
Supports the efforts of the Vice President and Development Office staff to execute such events.
Respond to ad hoc requests from alumni, fellow employees, and the community as needed.
Assist the Alumni President in planning quarterly Alumni Board of Director meetings.
Prepares presentations in a variety of formats.
Assists in Annual Fund, Alumni, and other mailings, including mailing list creation, coordination with Marketing Department and/or outside designers, acting as a liaison with mail houses, etc.
Attend trainings as needed/required.
Perform any other duties or tasks as assigned by the University.
Has no responsibility for the direct supervision of other employees; does assist department volunteers and work study students.
Work evenings and weekends as needed.
Travel locally as needed.
Bachelor's degree required
One (1) to three (3) years of relevant experience.
Two (2) or more years of nonprofit organization experience preferred.
Experience with development, fundraising, and annual appeal campaigns preferred.
Must be proficient with Microsoft Office Suite of products.
Highly motivated and energetic; demonstrate a high degree of good judgment, problem solving and resourcefulness; have a commitment to quality and high expectations; and excellent customer service skills.
Ability to manage multiple responsibilities and deadlines in a fast-paced and demanding environment, while exercising a high degree of diplomacy, discretion and creative problem solving.
Superior time management and organizational skills, including the ability to prioritize multiple projects.
Ability to utilize the Internet for biographical and informational searches.
Working knowledge of CRM/database functionality (Raiser's Edge experience preferred).
Excellent oral and written communication skills, with the ability to be assertive and persuasive.
Excellent interpersonal skills, including one-to-one, group settings, and phone etiquette with diverse constituencies.
A strong understanding of technology and social media is required.
Ability to work with confidential and/or sensitive information with discretion using sound judgment.
Strong commitment to providing service to donors and organizational and community leaders.
Must possess exquisite attention to detail and also understand long-term priorities and long-range strategies.
Ability to be flexible with their work schedule including some weekends and evenings.
Valid U.S. driver's license.
Must successfully pass the online Safe Driving Course within 15-days of hire and driving record check at time of hire and annually thereafter.
Ability to adhere to University policies and procedures.
