Position Summary: The Fundraising and Data Systems Administrator is responsible for managing all fundraising systems, including our online donor and event software, our fundraising database and prospect research systems to ensure accuracy of data and reporting, providing the best reporting and tools for the Development Services Unit. The Fundraising and Data Systems Administrator supports the fundraising efforts of the California 4-H Foundation and UC ANR Development Services and works closely with the business and finance teams, reporting directly to the Executive Director, Development Services Unit.
This includes creating, documenting and monitoring all data entry tasks and maintenance systems, particularly the database of record, Raiser's Edge; monitoring and maintaining online giving systems; and updating Development Services pages (including donation pages) on the ANR Web site. This position ensures the timely acknowledgement of gifts, tracking and facilitating stewardship processes and ensuring the integrity of the information and data produced. This position is also responsible for training all applicable staff to use Raiser's Edge and related modules and other advancement data systems. The Fundraising and Data Systems Administrator oversees all steps in the gift processing system and manages all facets of online giving platforms, including assessing current systems and recommending changes. The Fundraising and Data Systems Administrator supervises the Development Operations Associate and the Development Assistant who carry out gift processing, data entry, financial transactions, mailings, and other Development Services responsibilities.
This position will serve as a liaison to ANR Business Office Centers, UC Davis Financial Services, Communication Services and Information Technology, Statewide Programs, County Extension offices and Research and Extension Centers related to online data, gift processing and fundraising processes.
This includes the ongoing evaluation of processes, troubleshooting and web-based training to ensure smooth and efficient gift processing and communication.

Duty 1: -Acts as chief contact for gift processing, overseeing all gift and data entry, ensuring accurate and timely entry of all donations and gifts into Raiser's Edge and into QuickBooks for the CA 4-H Foundation, in coordination with the Development Operations Associate. -Creates, analyzes and generates highly customized and complex development reports, constituent lists, solicitation queries and mailing lists,, which may be accessed by members of the Development Services team and other ANR stakeholders. -Analyzes, reviews and revises, as needed, database architecture and Java script to properly extract information and provide online giving services. -Strategizes, recommends and designs data segmentation for direct mail and email campaigns. -Manages, negotiates, and renews all contracts for fundraising software systems. -Manages annual PCI compliance audit, and creates, manages and edits all online donation forms and peer-to-peer donation web pages. -Collects data from Raiser's Edge and the Contracts and Grants department to run quarterly financial reports to the UC Regents on behalf of UC ANR. -Manage ResearchPoint database including the annual update and import of revised giving scores into the Raiser's Edge database, custom report requests from Development Services team members, and wealth rating of lists not currently in the Raiser's Edge database. Duty 2: -Works with the Director of Annual Giving to create online versions of all annual giving appeals as well as online donation forms, peer-to-peer fundraising web pages, and custom-segmented bulk emails for each appeal. -Creates credit card processing reports from donation platform; formats and adds information to communicate with UC Accounting and Business Office in order to allocate the donations to the proper UC ANR accounts; and import the information into Raiser's Edge. -Manages special giving programs, including corporate matching gifts, tributes, memorials, personal fundraising pages and workplace giving. -Manages the implementation of peer-to-peer fundraising opportunities through the everydayhero online giving platform. -Creates and maintains workflow and protocol documentation for gift processing and use/maintenance of database and other system used to support fundraising. -Provides training to development staff on the use of online advancement systems software, including queries, dashboards, procedures and the Raiser's Edge graphic user interface, NXT, Constant Contact and ResearchPoint. --Works with IT to set-up and maintain donation web pages; assisting ANR units across the state in updating their pages. Duty 3: -Safeguards the confidentiality of donor information and develops related security processes, policies and procedures to ensure that donor records and information meet security and data protection requirements. -Creates and maintains a gift processing protocol and procedures manual, and writes and maintains procedural documentation for the gift acknowledgment process. -Plans, organizes and implements importation of data from multiple sources; identifies and removes duplicate entries and ensures data integrity and consistency. -Works with Development Services team to review and update customized acknowledgment letters, including variable data based on gift designation, into Raiser's Edge with each new appeal and gift. -Responds to questions from donors and internal partners to support their fundraising efforts. Job Requirements -Bachelor's degree in related field and/or equivalent experience. -Minimum of three years' experience in database management. -Advanced knowledge of database management, and donor relations concepts, principles, procedures and techniques. -Advanced knowledge and experience working with Raiser's Edge is required; -Advanced knowledge and experience working with Microsoft Word, Excel, and PowerPoint. -Highly skilled ability to provide high-quality data management: sort, organize, and import data files from different systems and organizations -High degree of skill and judgment involved in establishing accuracy and usability of information, correct coding, and integration of data. -Proven commitment to continual improvement of all processes and systems, actively seeking out feedback on changes to improve processes and systems. -Advanced knowledge of prospect research techniques (preferably in ResearchPoint). -Process management skills: i.e., direct database maintenance and clean-up projects. -Strong written and interpersonal communication skills to establish and maintain good working relationships throughout the organization and with external constituencies. -Excellent customer service skills to meet the needs of both internal and external customers. -Good organizational skills, detail oriented, analytical and critical thinking skills. -Quick learner with ability to thrive in fast-paced environment.
