Supports the work of the Director of Philanthropy raising funds for the Goodwill of Central and Northern Arizona (GCNA) mission. Provides event coordination and follow-up support as well as administrative, clerical, and general communication support to the Director of Philanthropy as they conduct philanthropic endeavors.
Essential Duties and Responsibilities:
Works with Finance to organize and coordinate Development accounts payable/receivable as well as tracking and reconciling donor and expense transactions.
Tracks and monitors program expenditures for budgetary purposes, coding department related expenses and routing accordingly for approval.
Records and acknowledges gifts, donor notes, and other transactions, generates reports, and mailing lists.
Assists with the “Change Campaign” by communicating with sites, announcing contest winners, and coordinating prizes.
Coordinates philanthropic calendar, logistics, scheduling, sharing communications for workshops, meetings, and conferences, and use of outside facilities.
Assists with management of Director of Philanthropy’s calendar by scheduling meetings, conferences, and travel/itineraries, as needed.
Communicates effectively with Executives, board and Circle of Goodwill, as needed.
Processes donations, prepares acknowledgement letters and other correspondence to donors, in order to cultivate relationships.
Prepares and sends annual giving summary to donors, including tax credit campaign letters.
Assists with logistics for Philanthropy meetings and mission tours. Sets up space, furniture and signage for all related meetings and events including transportation and assembly of equipment as needed.
Partners with Events team for planning of events and annual fundraiser.
Partners with Marketing to establish monthly newsletter content.
Assists with post event follow-up phone calls and handwritten correspondence.
Responsible for maintenance, organization, and management of the donor database (eTapestry), which tracks all donations and/or philanthropic information, daily communications, and legal documents.
Responsible for data entry on an ongoing basis of donor and prospect information into donor database.
Researches, compiles, and records information on existing and potential donors, creating and maintaining appropriate spreadsheet files.
Performs word processing duties, including preparation of business correspondence and inter-office communications.
Assists in developing standard operating procedures for program initiatives and processes.
Creates and prepares database reports and correspondence, as needed.
Records meeting minutes for all department meetings, events, and conferences, as needed.
Maintains accurate records and electronic filings within the department filing system.
Maintains on an ongoing basis Mission and Ambassador Tracker logs.
Coordinates monthly coaching call with Benevon coach and appropriate team members.
Coordinates monthly Circle of Goodwill meeting with key stakeholders.
Conducts research as needed, as it relates to fundraising initiatives.
Adapts to changes in the work environment, manages competing demands, and is able to deal with changes, delays, or unexpected events.
Minimum of 1 year experience in a Philanthropy role.
2+ years’ of administrative support/customer service experience preferred.
Project management experience preferred.
Ability to work independently on assigned tasks, as well as to accept direction on given assignments.
Ability to work cooperatively with diverse groups and individuals.
Proficient in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint. Experience with internet usage and databases required.
Valid Arizona drivers’ license and clean MVR.
Ability to pass a background check and drug screen, where applicable for position.
