We are looking for a terrific new team member at the Pikes Peak Community College Foundation to be our first Donor Services Manager. PPCC is the second largest community college in Colorado with enrollment of 18,800 students: 50% are Pell eligible and 50% are the first in their families to go to college. We are currently in the largest expansion of the last 20 years, adding a state of the art healthcare education facility, a gritty urban arts center, and a new skilled trades facility. PPCC is a place where innovation is not only encouraged, it is supported.
The Foundation is growing fast and in different ways, particularly as we work to support the new arts and healthcare education projects, that we want to zero in on taking care of our donors. So we are looking for someone who is meticulous and detail-oriented and can treat all of our donors with graciousness and gratitude. We are particularly looking for someone who will join us in the attitude that problems are not crises! The office is fast paced and busy - as you want it to be when you remember how much our students are depending on us.

The Donor Services Manager is responsible for supporting strong positive relationships with PPCC’s generous donors. The Donors Services Manager is a critical position on the Foundation team, working collaboratively to ensure our fundraising efforts for scholarships, capital projects, key programs and priority initiatives of the College are successful. This is accomplished through intentional and effective donor communication, strategic event design and implementation, and meticulous stewardship of donor gifts and records.
Manage the donor stewardship processes in ways that reflect the Foundation mission and vision from acknowledgement letters to creative and meaningful donor recognition and benefit fulfillment.
Provide excellent donor services through timely and effective donor correspondence including pledge reminders, invoices, receipts, gift agreements, student thank you letters, and additional correspondence as necessary.
Develop and implement data hygiene policies and procedures based on industry best practices and the unique needs of the Foundation.
Steward donors by establishing data audit procedures and performing ongoing maintenance of donor records ensuring that donor involvement with PPCC is recorded accurately on a timely basis.
Foundation Board Support
Proactively facilitate communication between the Executive Director, the Board Chair, and the Foundation Board members.
Ensure compliance with Foundation policies, procedures and bylaws including the accurate and timely recording of board meeting minutes.
Maintain confidentiality while participating in highly sensitive conversations and projects.
Event Design and Execution
Identify and secure locations for donor stewardship and fundraising events that are strategically aligned with the Foundation’s mission and current campaigns.
Develop the guest list based on the direction from the Executive Director, ensure that save the date and invitations are sent in a timely manner, and track Sponsorships, RSVP’s, meal selections, and all other guest responses.
Work with the Foundation and Marketing teams to ensure that content has been created, approved, and delivered for printing for all event collateral including save the dates, invitations, menus, programs, and event signage.
Coordinate with internal and external vendors to ensure all details of the event from linens and décor, menus, lighting and more support the vision of the event.
Recruit and train volunteers to staff the event providing the highest level of customer service.
Organize timelines, staff and volunteer duties, event check-in and check-out to facilitate a fantastic donor experience.
Gift Processing and Financial Record-Keeping
Steward gifts from receipt to release including accurate daily gift entry, coding, and reporting to preserve donor intent.
Support the growth of the employee giving program through processing of monthly payroll gifts, employee outreach, and annual receipting.
Manage month-end reconciliation including providing all documents related to income and expenses.
Develop a pledge program that includes timely reminders to donors and tracking of payments received
Design and run queries in the donor database to provide various reports and mailing lists to the foundation staff.
Coordinate foundation meetings including invitations and responses.
Track, code and submit invoices for timely payment.
Prepare and complete bank deposits.
Completes general office duties.
Perform other duties as assigned.
Ability to maintain an established work schedule, including occasional evenings, weekends, and ability to travel to multiple campuses to support department needs.
Bachelor's degree from a regionally accredited institution OR Associate’s degree with two years of professional level experience performing similar duties to those described for this position.
Three years of professional level of fundraising or office management experience.
Report generation, in Raiser’s Edge or other database.
Five years of fundraising or office management experience.
Three years of Raiser’s Edge or other database experience.
Three years of gift entry experience.
Three years of experience managing a major project or process.
Experience with non-profit financial rules and regulations.
Experience with non-profit event planning or fundraising events.
Experience working with volunteers.
