The Senior Director for Advancement Services, IIT Office of Institutional Advancement, is responsible for the strategic design, development and implementation of support functions that will enable IA, through continuous improvement, to effectively achieve its goals in fundraising and alumni engagement. Reporting to the Senior Director are a) Director, Prospect Research and Management; b) Director, Information Services and Technology; c) Gift Processing Coordinator; d) Data Records Coordinator; and e) Database Coordinator. The Senior Director is a member of the Institutional Advancement leadership team and is an active participant in campaign and programmatic planning as part of that team. The Advancement Services organization at IIT needs to increase the data mining and analytics elements of the program, and the Senior Director will drive this effort. The Senior Director will also review our existing policies and procedures to ensure they achieve best practices, and will drive the creation of and/or documentation of policies and procedures where they need to be added or enhanced.

Supervision & Budget Authority - Supervises: Prospect Research and Management Team – 2 exempt; 1 non-exempt. Information Services and Technology Team – 1 exempt and 1 non-exempt; and Data Records Coordinator and Database Coordinator – 2 non-exempt. Gift Processing – 1 non-exempt. Staff Total = 8 Responsible for the administration of the Research and Data Expenses Budget totaling $150,000+
Knowledge & Skills - Strong written and oral communications skills required. Proven experience in developing and implementing advancement services/information services processes and policies for development/alumni relations operations. Ability to thrive in a fast-paced environment. Knowledge of Microsoft Access, Excel, SPSS, SAS, R, Python or other statistical analysis software, and an understanding of how to use those tools to direct various analytics projects. Experience with report design tools and software, including Tableau, Domo, or other similar tools.
Information Services and Technology, and Analytics: Manages the Director of Information Services and Technology, the Data Records Coordinator, and the Database Coordinator. Works in close collaboration with the Senior Management Team to define data mining, analytics, and reporting needs. Leads the Advancement Services team to execute these needs. Evaluates, recommends and implements technical solutions to support IA, maximizing the capabilities of the Raiser’s Edge (RE) database to support fundraising and alumni relations programming. Designs, and implements best practice policies, procedures and training program for maximum effectiveness in data integrity, data enrichment and data analytics. Serves as principal liaison to IIT’s Office of Technology Services (OTS) and oversees the integration of IA systems with university systems (Ellucian Banner). Develops sophisticated management and process reports for program planning, execution and metrics. Leads the Institutional Advancement Database Steering Committee, which is the task group overseeing proper functioning of the database, dealing with problems and issues as they arise, and setting the long-term agenda for database management and improvement.
Management, Strategy and Planning: Supervises and develops a team of professionals and support staff whose mission is to provide the infrastructure, processes and tools to support effective performance of the Office of Institutional Advancement. Hires qualified staff, fosters a culture of customer service and continuous improvement, and ensures that programs and staff are strategic partners with all other IA teams. Leads short-term and long-term team planning, sets metrics for success and is accountable for achieving those metrics.
Gift Processing: Manages the Gift Processing Coordinator. Oversees gift processing, including review and enforcement of all current gift acceptance policies, understanding and implementation of industry best practices. Supervises gift processing staff to ensure accuracy of gift processing, gift receipting, and reporting. Collaborates closely with colleagues in stewardship to maintain a high quality gift acknowledgement process. Serve as liaison between the Advancement Services and Accounting department regarding all gift related items including: reconciliation, audit support, adjustments, and fund creation.
Prospect Research/Prospect Management: Manages the Director of Prospect Research and Management who oversees the creation and implementation of a proactive program for prospect identification, including the use of advanced analytics and data mining to increase the size and quality of the identified prospect pool for the next IIT campaign. Works with fundraising senior management to develop an integrated, strategic prospect/portfolio management program for leadership annual gift, major gift and principal gift prospects to increase fundraising productivity and to more accurately predict fundraising results.
Senior leadership: Leads the organization in collaboration with the Vice President and other members of the IA senior management team. Works to develop cross-team relationships between Advancement Services and other IA teams to accomplish goals, and between Institutional Advancement and other relevant offices across the university. Understands the objectives of all teams in the organization and creates innovative support systems to help achieve those objectives. Owns the development of IA policies and processes, along with regular training in policy implementation. Brings the perspective of other university teams to the senior management table so that IA is able to work collaboratively and well with offices around campus particularly in the areas of information services, budget and administration.
Education & Experience - Bachelor’s degree required. Advanced degree preferred. 10 or more years of relevant experience required, including a minimum of 7 years’ management experience in information or advancement services, development, fundraising, prospect research/management and/or administration for higher education or other non-profit organizations. Experience with implementation and management and maintenance of relationship management databases required, experience with Raiser’s Edge required. Familiarity with Ellucian Banner products preferred.
