Denver Zoo seeks a self-motivated and proactive individual for the Development Services Coordinator role in our Development department. The Development Services Coordinator advances the mission of Denver Zoo--to secure better world for animals through human understanding--by coordinating critical Development Services functions within the Development department, including gift processing/administration, matching gifts, constituent data management, report preparation, donor portfolio management, prospect research, liaison to events team, donor recognition/stewardship programs, and management of the Department's operating budget.

Gift Administration (25%)
- Gift Processing Under the supervision of the Development Services and Database Manager, performs batch preparation and data entry of gifts and grants in a timely and accurate manner. Processes cash, check, credit card, online, stock, and in-kind donations. Coordinates closely with both Development and Finance/Accounting staff to process gifts, prepare necessary data files, prepare receipts, and prepare appropriate acknowledgement letters in a timely manner.
- Matching Gifts Works closely with the Individual Giving Manager to coordinate the matching gifts program.
Data Management & Reporting (25%)
- Works closely with the Development Services/Database Manager to manage and maintain a highly effective donor database that supports the goals and objectives of the department with respect to fundraising and relationship management.
- Assists CDO, Directors, and Managers in producing routine and special reports that enable forecasting, revenue reporting, and performance assessment across the team.
- Prepares appropriate prospect and/or gift reports for use with the Board of Trustees, Development Steering Committee, Nominating Committee, and/or others.
- Leads or assists with data entry, preparation of lists, segmentations, e-communications data file preparation (e.g., ZooNews), and coordinates data cleanup projects as requested.
- Supports Manager in developing and maintaining up-to-date policies and procedures regarding Raiser's Edge and management of donor and gift data.
- Provides onboarding, as well as ongoing tips, training, and technical assistance to the department and other Raiser's Edge users regarding best practices and established procedures.
- Serves as back-up Raiser's Edge system administrator as required.
Portfolio Management & Prospect Research (15%)
- Working closely with the Development Leadership Team and under the direction of the Development Services/Database Manager, monitors and coordinates portfolio and proposal activities across the department and produces requisite productivity/metrics reports for management in a timely manner.
- Coordinates prospect assignments and reassignments for the department, including occasional reporting.
- Upon request from Directors or CDO, conducts occasional research to identify/qualify prospective individual donors and/or institutional funders and/or coordinates with outsourced prospect research vendor for same.
- Manages the department's wealth screening vendor relationship (GG+A/DonorScape), including assisting others with use of the tool.
- Budget Supports CDO and Directors in annual budget process. Monitors and reconciles operational budget for department and provides monthly updates to CDO and Directors regarding expenditures and variances. Works closely with Development Assistant in processing invoices and purchase agreements in a timely manner.
- Occasionally serves as back-up for Development Assistant, including as supplemental administrative support/assistance to CDO (and the Development team, whenever practicable).
- Works closely with CDO and Directors to serve as department's primary point of contact with the events team regarding event logistics for special donor-related events, including support related to data entry/management, VIPs, invitation design, order of program, staffing assignments, and other logistics to ensure the event meets intended goals/objectives.
- Provides support for donor-related events, including tracking of RSVPs and preparation/distribution of attendee lists.
Donor Recognition/Stewardship (10%)
- Coordinates editing and proofing of donor listings for honor rolls for annual report, donor wall, etc. Liaises with communications/marketing team and external vendors regarding same.
- Works with Development Assistant to coordinate ordering of recognition gifts, plaques, name plates, and other donor/sponsor-related signage, including maintaining an accurate inventory of honorary/memorial namings and naming opportunities.
- Professionally represents the department throughout the zoo, providing excellent customer service to internal and external constituents.
- Adheres to and promotes Denver Zoo's mission, core values, and strategic initiatives.
- Demonstrates a commitment to Denver Zoo's Safety & Sustainability Policies by adhering to all environmental, safety, and health regulations, procedures, and goals.
- Value and consistently apply Denver Zoo's ROADMAP (Reaching Our Audiences by Developing Mission Aligned Programs) process and resources in engaging and educating guests at Denver Zoo.
- Indirect reports may include: Development Assistant and/or volunteers and interns.
- Bachelor's degree required, along with at least 3 years of applicable experience, preferably in a nonprofit environment with similar responsibilities.
- Strong customer service and interpersonal skills.
- Solid computer proficiency, particularly in all Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
- Experience with Raiser's Edge or similar CRM software required.
- Experience in prospect/funder research and wealth screening tools preferred.
- Must be able to prioritize, manage, follow through and report on multiple tasks on a regular basis.
- Strong organizational skills with great attention to detail and accuracy.
- Strong written and verbal communication skills.
- Must possess and demonstrate a high level of professionalism, diplomacy, and ability to maintain confidentiality.
- Must be able to solve problems efficiently.
- Must be able to function in a multi-task environment, both independently and within a team.
- Ability to work occasional evenings and weekends, particularly for events.
- Clear driving record. (If selected must be able to pass a MVR Motor Vehicle Records review).
- Ability to pass drug and alcohol screening.
- Ability to pass reference and background check.
- Provide negative TB test result within 2 weeks of start date if hired.
The physical demands for this position are low. The employee must occasionally lift and/or move up to 25 pounds. The employee is regularly required to stand, walk, talk and listen. The employee frequently is required to use hands to maneuver handle or feel objects, tools or controls. The employee is occasionally required to sit, climb or balance; also, reach, stoop and kneel. Specific vision abilities required include close, distance, color, peripheral, depth perception vision and ability to adjust focus. The position requires both mental and visual concentration.
This position requires a substantial amount of contact with staff, donors, volunteers, and other departments. The employee occasionally works near moving mechanical parts and in outside weather conditions and may be occasionally exposed to fumes or airborne particles and chemicals. The noise level in the work environment is usually low to medium.
