The MIT School of Science seeks an individual to assist the assistant dean of development in all areas of development (on campus, locally, and nationally) including donor relations, stewardship, development communications, event planning and independent project management. Will also perform a full-range of administrative duties including managing the Assistant Dean’s calendar, scheduling meetings, writing, editing, filing, managing databases, proofing correspondence, and making travel arrangements.
Manage development and cultivation events on-campus, locally, and nationally (e.g., developing invitation selection criteria; creating clipboards and FileMaker databases; organizing all logistics, including vendor selection, negotiation of contracts and travel arrangements and day–of-event execution; writing, designing, and managing the printing and distribution of print and email invitations and event handouts)
Manage stewardship in the School of Science by tracking and following annual stewardship reporting for all endowed and expendable funds that need stewarding including professorships, fellowships, lectures, and special funds; and working collaboratively with the other department development officers to assure compliance and accuracy in stewardship.
Manage the monthly gift acknowledgement letters from the dean including the writing of thank you letters that include current research in each of the departments, labs, and centers
Work closely with the director of communications to coordinate the production of the twice-yearly Science at MIT newsletter, including scheduling, vendor selection, proofreading, and distribution
Staff donor visits on and off campus
Organize logistics and materials for yearly dean’s advisory council meetings, managing event logistics, anticipating needs of faculty speakers, and taking care of event details
Assemble development travel books including agenda, research, and detailed transportation logistics for the assistant dean and dean when traveling to meet with donors
Process travel vouchers/requisitions and POs/RFPs for all events and communications expenses
Maintain resource development files and communication materials, maintain School of Science pages on Resource Development web pages, and calendars
Assist in managing calendar for assistant dean for development, setting up meetings and appointments and assisting with the overall office organization
Perform other duties as directed
Three years of related experience
Strong interpersonal and oral and written communication skills
Demonstrated ability to manage projects independently
Proven time management skills
Ability to work in a team-oriented environment
Ability to handle frequent interruptions
Strong and wide-ranging knowledge of office procedures and computer systems
Experience and/or willingness to learn Microsoft Office (Word, Excel and PowerPoint), FileMaker, Adonis database operations, and Adobe Creative Suite
Familiarity with development and fundraising operations and/or higher education
Occasional travel may be required.
