The Grants Coordinator is responsible for conducting the full range of activities required to prepare, submit, and manage grant proposals to foundation and corporate sources. This position is responsible for writing proposals for both unrestricted operating revenue and restricted projects and for submitting timely and accurate reports for all existing grant funded projects. The Grants Coordinator works closely with the Senior Leadership Team to ensure adequate funding is secured to support agency mission.
PRIMARY RESPONSIBILITIES INCLUDE, BUT ARE NOT LIMITED TO:
1. Adequate and appropriate grant funding is secured to sustain YWCA programming. Acquires and maintains sound knowledge and understanding of the agency - including all projects and programs for which grants will be sought, agency growth planning and institutional history. Performs prospect research on foundations and corporations to evaluate candidates for corporate and foundation grants and recommends grant opportunities. Maintains system to ensure program funding is replenished as needed to sustain operations and prioritizes requests accordingly. Secures city, state and federal funding where available. Assist with other fundraising projects as requested.
2. Grant requests present accurate and compelling representation of program and agency. Gathers information needed to grasp the concept of a project or program for which funding is sought. Develops individual grant proposals in accordance with each grant-making organization's preferences and follows exactly each grant-making organization's guidelines. Compiles, writes, and edits all grant applications exhibiting strong expository writing skills and a high-level command of grammar and spelling. Routes grants to appropriate department heads and program staff to solicit feedback, verify information and ensure programs are accurately represented. Works with finance and operations to gather information necessary to report to corporate/foundation funders on current grant programs. Maintains contact with grant-making organizations during their review of a submitted grant application in order to be able to supply additional supportive material. Coordinates site visits when requested by funder.
3. Funders and stakeholders receive appropriate acknowledgment and reporting of funds. Provides timely notification and acknowledgements to funders, key staff and stakeholders following funding decisions. Tracks submission dates for reporting and ensuring timely submission. Manages the process of supplying progress reports when required by a grant-making organization that has funded a project or program. Complies with all reporting as required by foundation/corporate donors. Provides stewardship to current donors to provide regular written updates (newsletters etc) to corporate and foundation donors. Works with External Affairs to provide input for all written institutional materials (including marketing materials, Web site reports and Agency Brochures).
4. Grant documents are organized and available for review as needed. Maintains current records in database and in paper files, including grant tracking and reporting. Tracks statistics relevant to development and provides department with written materials necessary for donor stewardship. Generates monthly, quarterly and ad hoc reports as requested.
5. Agency policy, procedures and outcomes are achieved; agency mission is supported. Demonstrates eagerness to learn and assume responsibility; seeks out and accepts increased responsibility.
